The Create Account screen captures your personal login information — the credentials you'll use every time you sign in. This is your individual login, separate from the company registration that comes next.

What you'll need to enter

Full Name

Enter your full legal name. This will appear on your platform profile and on agreements you sign. Use the same name you'd put on a business document.

Work Email

Use your work email address — not a personal Gmail or Hotmail. ScopeMark verifies email domains during the review process, and accounts using personal emails for company registration may be flagged.

Password

Minimum 8 characters. We recommend:

• At least 12 characters total
• A mix of upper and lower case letters
• At least one number and one symbol
• Not a password you've used on another site

Click Show on the right side of the password field to display what you're typing.

Steps to create your account

Email verification is mandatory before you can continue. ScopeMark uses this step to make sure account communications reach a working inbox you actually control.

What if I don't see the email?

Check your spam or junk folder

Email providers sometimes mistakenly filter verification messages. The email is sent from a ScopeMark domain — look there first.

Wait, then click "Resend"

The screen shows a countdown timer like Resend in 48s. Once the countdown finishes, you can request a new code. The previous code becomes invalid.

Confirm the email address is correct

The verification screen shows a partially-masked version of your email (e.g. ja***@email.com). If that doesn't look right, click Sign out at the bottom of the screen and restart with the correct email address.

Troubleshooting

I entered the code but it says "invalid": Most often this means the code expired or has a typo. Click "Resend" once the timer finishes and try again with the new code.

The button stays grey: The "Verify email" button only activates once all 6 digits are entered. If it's still grey, check that you've filled every box.

I never received any email at all: If you've waited several minutes, checked spam, and resent — email support@scopemark.ca with your registered email address.

After email verification, you'll be asked to provide your company's official details. This is the most important step in the onboarding — the information you enter here goes through automated verification against Canada Revenue Agency (CRA) records.

What information you'll need

Legal Company Name

Enter the exact legal name of your company as it appears on your registration documents. Include "Inc.", "Ltd.", or other suffixes if they're part of the legal name. Don't use trade names, abbreviations, or marketing names.

GST / HST Number

Your 9-digit business number followed by "RT0001" or similar. Find this on your most recent CRA correspondence or business registration documents.

Province

Select your business's primary province of operation from the dropdown. Note that ScopeMark currently operates in Ontario (Ottawa) — other provinces may have limited functionality during Phase 1.

Employees

Enter the approximate number of full-time employees at your company. This is used for analytics and matching — it doesn't affect approval.

Business Address

Your main business address (street, city). This should match your CRA registration address. PO boxes are not accepted for primary registration.

Industry / Specialty

Describe your industry briefly. Examples:

• Security Solutions
• Property Management
• Door & Hardware Installation
• Commercial Locksmith Services

Steps to complete this section

What happens during GST verification

When you submit, ScopeMark sends your GST number and company name to a verification service that cross-checks the data against CRA business records. One of three things happens:

1. Verified successfully: Your company is confirmed and you proceed to the next step.
2. Match found with existing company: Another user has already registered your company. You'll be shown the existing company and given the option to request to join it.
3. Verification needs review: If the system can't confirm a match automatically, a ScopeMark admin will review manually within 1 business day.

During the company verification step, ScopeMark searches its database to see if your company is already registered. If a match is found, you'll see this screen instead of proceeding to approval.

Reading the match information

The match card shows the existing company's details so you can confirm it's actually yours. Pay attention to:

• Company name at the top
• Match indicators: Tags like "Different GST" or "Name matched" tell you which fields aligned with what you entered
• GST number and address — make sure these match your records
• Province and type (seeker / provider / dual)

Two paths from here

Path 1: This IS my company — request to join

The four role options

Each role has different permissions inside the company account:

• Owner / Director: Full access. Can post jobs, manage team, view financials, sign agreements, and approve other team members.
• Project Manager: Can post jobs, manage active projects, review milestones, and approve contractor work. Cannot modify billing or remove other admins.
• Office Administrator: Handles invoicing, contractor records, and operational support. Limited access to active project management.
• Field Worker / Technician: View-only access to assigned jobs and project details. Cannot post jobs or approve milestones.

Path 2: This is NOT my company — register separately

If the matched company isn't actually yours (e.g. there happens to be another company with a similar name, or you're a different branch), click the "Register as a different company" button at the bottom. You'll be allowed to continue registration as a brand new company, but expect manual admin review to confirm the conflict.

What happens after you click "Request to join"

You'll see a confirmation screen showing:

• The company name you've requested to join
• The role you've requested
• Confirmation that the request was sent to the company owner
• The email address where you'll receive the approval notification

What if the owner denies my request?

If your request is denied, you'll receive an email explaining why. Common reasons include:

• The owner doesn't recognize you as an employee
• You requested an inappropriate role
• The company already has the maximum number of admins

In any of these cases, reach out to the owner directly to clarify. If you believe the denial was a mistake, contact support@scopemark.ca with details.

Every company that registers on ScopeMark goes through manual review. This keeps the platform's quality high — both service seekers and service providers know that every other party on the platform has been vetted.

The three stages of approval

1. Application Review

The ScopeMark team reviews your company registration details and confirms your GST verification went through cleanly. This includes:

• Confirming your CRA records match the data you entered
• Checking your business is active and in good standing
• Verifying no duplicate accounts exist
• Reviewing the role you registered for (especially Dual Role, which requires additional qualification)

2. Account Activation

Once your application is approved, your account is activated and you'll receive an email notification. You can then log back in to ScopeMark and you'll be moved forward to the next step.

3. Contract Signing

On your first login after approval, you'll be asked to sign the ScopeMark Platform Services Agreement before you can post jobs or take any other action on the platform.

What you can do while you wait

While your application is under review, you have limited access. You can:

• Check your approval status — click the "Check approval status" button on the waiting screen
• Sign out and back in — your status will update automatically once approved
• Contact support if you have questions or need to update information

You cannot yet:

• Post jobs
• Browse other companies
• Add team members
• Access dashboards

Tips to speed up approval

Other reasons for delays

• You entered an industry that needs manual classification
• Your business name is very similar to another registered company
• You selected "Dual Role" — this requires additional qualification
• Your registration came in after business hours on a Friday

Getting your status updated

You'll receive an email at the address you registered with as soon as your account is approved. The "Check approval status" button on this screen also updates in real time — refresh it to see the latest status.

Need to sign out?

You can sign out at any time using the "Sign out" link in the top right of the screen. Your application stays in the queue — signing out doesn't reset anything.

After admin approval, the first time you log back in, you'll be shown the Platform Services Agreement. You must sign this agreement before you can post any jobs.

What the agreement covers

1. Platform Access

You're granted access to the ScopeMark B2B platform to post projects, receive bids from verified contractors, and manage milestone-based payments. Access is contingent on continued compliance with the terms.

2. Scope of Services

ScopeMark facilitates connections between Clients (you) and Service Providers (contractors). ScopeMark does not perform construction or trade work itself — and is not a party to any contract between your company and a contractor. The actual scope of work, pricing, and timelines are agreed directly between you and the contractor through the platform.

3. Platform Fees

ScopeMark charges a platform fee on each confirmed milestone payment. The applicable fee rate is displayed in your account settings. Fees are:

• Deducted automatically at the time of milestone confirmation
• Non-refundable once processed
• Detailed line-by-line on your monthly invoice

4. Payment & Escrow

All contractor payments are held in escrow by ScopeMark until you confirm milestone completion. Important rules:

• You must confirm or dispute milestones within 5 business days of submission
• Unresponded milestones are automatically confirmed after 5 business days
• Disputed milestones trigger ScopeMark's resolution process

How to sign the agreement

What happens after you sign

• The agreement is timestamped and logged to your company account
• A copy is emailed to the signing user's registered email
• You're immediately taken to the company dashboard
• You can start posting jobs and using all platform features

Where to find a copy of the signed agreement

After signing, you can access a copy any time:

• From your email inbox (the copy sent at signing)
• Inside the platform under Settings → Legal Documents (coming soon)
• By emailing support@scopemark.ca with a request

What if I refuse to sign?

You can't use the platform without agreeing to the terms. If you have specific concerns about the agreement language — for example, your legal team needs to negotiate certain clauses — contact support@scopemark.ca with the subject line "Legal Review Request" and we'll connect you with our legal team.

When you first log in, you'll land on the Project Dashboard. New companies see an empty state inviting them to post their first job. Established companies see a full dashboard with KPIs, project lists, and quick filters.

What you see as a new user

Everything is at zero. The fastest path forward is clicking either + Post a Job button to create your first project. The Compliance button takes you straight to your contractor compliance dashboard.

What you see once you're active

The four KPI cards explained

• Confirm Payment — Projects with a milestone awaiting your sign-off. Act on these first — if you don't confirm within 5 business days, the milestone auto-confirms.
• In Progress — Active projects where work is being done.
• Getting Bids — Projects you've posted that haven't been awarded yet.
• Complete — Projects where all milestones have been paid out.

The project list

Below the KPI cards is your project list, with one row per project showing Project name + address, Status, Trades, Progress (with milestones %), Value, and Due date. Click any row to open the project detail page.

Filters and search

Above the list are filter chips: Projects 15 · In Progress 2 · Complete 6 · Getting Bids 2 · Draft 5. Click any chip to narrow the list. Use the search box on the right to find a project by name.

Top section: Your company

At the top of the sidebar, you'll see a card showing your company name and account type (e.g. Power Tech · Service Seeker). This confirms which company account you're currently signed into.

Your Project Dashboard — the default page. Lists all projects, shows KPIs, and is the starting point for posting new jobs.

Team

Manage your internal team members. Invite new colleagues, change their roles, approve join requests.

Detailed Project

Best for: Multi-trade or complex work requiring a full scope of work, permit review, and structured milestones.

• AI clarification questions — the system asks targeted follow-ups
• Full per-trade scope documents
• Permit flagging — automated check
• Milestone plan — typically 4 stages

Examples: Install 12 access controllers across a new building. Renovation requiring electrician + locksmith + door installer. Full security system retrofit.

Bidding options for both

Both job types let you set a bidding window of up to 7 days. You also choose whether the job is open to Public tender (every verified contractor in your trade) or Closed tender (only contractors on your roster).

Can I change my mind?

Yes. Even after selecting one path, click the "Change" link next to the type badge at the top of the form to switch. You'll keep any information you've already entered where the fields match.

Field-by-field guide

Project Name

Short, descriptive name. Example: RCMP HQ — Access Control Phase 2. This name shows in your dashboard, on bids, and on invoices.

Site Type

Dropdown — what kind of building? Examples: School/Educational, Office, Retail, Industrial, Healthcare, Residential, Government.

PO #

Your internal purchase order number for accounting. Optional but recommended. Example: PO-2026-00471. Flows through to contractor invoices and your monthly statement.

Site Address

Start typing — autocomplete will suggest Canadian addresses. The pin icon means the address is validated.

Expected Start Date & Target Completion

Both default to today. Set realistic dates. Contractors use these to plan their bid timeline.

Brief Description

Plain-language description of what needs doing. Don't worry about being detailed — the AI will ask follow-up questions in Step 2. Examples:

• "Install 12 access controllers across 4 doors on the third floor. Existing wiring in place. Need card reader + electric strike + REX motion sensor at each."
• "Re-key all 22 office door cylinders + 4 cabinet locks. Provide 50 keys total. Master key required."

Trades Required

Tap every trade involved. Available trades: Installer, Electrician, Locksmith, HVAC, Plumber, Framer, Painter, Carpenter, Roofer, Mason, Landscaper, Security Integrator.

Site Photos (Optional)

Upload up to 10 photos of the work site. Highly recommended — contractors bidding with photos give more accurate prices because they can see existing conditions, hardware, and access challenges.

Moving to Step 2

Once all required fields are filled, the "Next: AI Clarification →" button activates. Click it to move to the AI clarification step.

Header bar

At the top you'll see: Project name with status badge, Project ID (e.g. P-432), Site address and site type, PO# tag (shows NA if you didn't enter a PO when posting).

Bids Received

Shows every contractor that bid on the job. For each bid: contractor name and submitted price, optional message, submission timestamp, status tag (Accepted on the winner, or Pending while bids are still open).

While bidding is still open, you'll see all bids with an "Accept" button. Once you accept one, others are automatically declined and the project moves to In Progress.

Milestones

The heart of project management. Detailed Projects typically have 4 milestones:

1. Mobilisation (10%) — Contractor arrives on site, materials ready, work begins
2. Shipping (20%) — Materials and equipment delivered/staged
3. Main Work (60%) — Bulk of the trade work completed
4. Final Sign-Off (10%) — Walk-through, punch list complete, project handed over

Each milestone shows: percentage of total contract value, status badge (Paid, Pending, Disputed), release date if already paid, Notes/chat thread with the contractor.

The progress bar

Just above the milestone list you'll see 1 of 4 complete with a percentage and a progress bar. This number flows up to your main dashboard.

Reviewing a milestone

Raising a dispute

If the milestone work doesn't match the scope, click "⚠ Raise a Dispute". This pauses the 5-day auto-confirm timer, notifies ScopeMark support, opens a structured resolution thread, and holds the escrowed payment until resolved. Most disputes resolve within 48 hours.

Project Info side panel

On the right, a compact info card with Status, Trades, Contract Value, Due Date, Urgency (Normal / Urgent / Emergency), and Posted date.

AI Scope Documents

At the bottom is the AI Scope Documents section — one scope document per trade involved. Each shows the scope title, estimated duration, and expands to the full per-trade scope of work. These are what your contractors bid against — locked once a bid is accepted to prevent scope creep.

Owner / Director

Full access — billing, team, all projects.

• Post and manage every project
• Approve or remove team members
• Sign the Platform Services Agreement
• View and download all invoices

Best for: Company owners, directors, controllers. Limit to 1–2 people maximum for security.

Open Settings from the sidebar. The Invite Team Member card is in the middle column:

What the invited person sees

They receive an email from ScopeMark with the inviting company's name, their assigned role, and a "Join the Team" button. If they don't have a ScopeMark account, the link takes them to streamlined signup. If they already have one, accepting the invite lets them switch between companies.

Managing your active team

Current Team

Lists every active member with: initials avatar and name, email, current role (Owner/Director shows as a badge; others have a dropdown to change), status, and a small ✗ button to remove. You get a tag next to your own name so you don't accidentally remove yourself.

Past Requests

Below the active team, you'll see Past Requests — every person who's previously joined or been denied. Members marked ✓ Approved are now active.

Approving external requests

If someone signs up to ScopeMark independently and lists your company name, they appear as a pending join request. As Owner/Director, you'll see them with Approve / Deny options.

Removing a team member

Click the red ✗ next to any active member (Owner/Director only). You'll be prompted to confirm. The member is immediately signed out and loses access. Their actions remain in the audit log permanently.

Roster vs Browse Network

Roster (your saved contractors)

The contractors you've vetted and added. Only these contractors automatically receive notifications when you post a closed-tender job. Build your roster strategically — quality over quantity.

Browse Network (the full ScopeMark directory)

Every verified contractor on the platform within your service area. Use it when you need a trade your roster doesn't cover, or when you want backups for busy times.

Searching and filtering

• Search by name — quick name lookup
• All trades dropdown — filter to just Electricians, Locksmiths, Installers, etc.
• Results count — e.g. "9 verified contractors available"

What "Verified" means

Adding a contractor to your roster

Adding doesn't notify the contractor — it's silent. You can remove them just as easily from your Roster view.

How big should my roster be?

• Per trade: at least 3 active contractors for competitive bidding and backups
• Avoid 1-of: Never depend on a single contractor for a critical trade
• Refresh quarterly: Review and prune contractors who consistently no-bid or underperform

When to use this instead of Browse Network

Use Browse Network if the contractor is already on ScopeMark. Use Invite if you've worked with a contractor for years through other channels (email, phone, paper invoices) and want to bring them onto the platform.

How invites work

From the Contractors page, click "+ Invite New Contractor". The form has three fields:

Contractor Name

The contractor's full name. Example: Jean Tremblay or Marcus Chen.

Email Address

Their work email. The invite is sent here. Use the email they're most likely to read — work email, not generic info@company.com.

Primary Trade

What trade they'll primarily bid on. They can register additional secondary trades after signing up.

What happens after Send Invite

The contractor receives an email with your company name, a personal invite message, and a "Join ScopeMark" link to the mobile app. No cost for contractors to join.

Once they sign up via the mobile app, upload their license/WSIB/insurance, and complete identity verification — they're automatically added to your approved roster. You'll get a notification.

The contractor's side

Contractors register and use ScopeMark through the mobile app, not the web portal. They're guided through account creation, trade selection, document upload, and verification review (usually 1 business day).

Multiple contractors at once?

The current form invites one contractor at a time. Bulk-invite functionality is on the roadmap. For now, send invites one by one — usually under 5 minutes total for 5–10 contractors.

Why this matters

If a contractor without active WSIB is hurt on your site, your company can be held liable. If a contractor without a trade license does work, it may not pass inspection. ScopeMark's compliance dashboard is your insurance against these risks.

The four KPI counters

• Total — total contractors in your roster
• Fully Active (green) — all documents valid, ready for jobs
• Expiring Soon (yellow) — at least one document expires within 90 days
• Expired / Missing (red) — at least one document expired or never uploaded

The header also shows the last sync time and a Refresh button to force re-check.

The contractor table

For each contractor: Name, Trade, License status, Insurance status, WSIB status, Overall status (worst across all three).

The four document statuses

Active (green)

Document is on file, current, and verified. Contractor can be assigned to any job.

Expiring Soon (yellow)

Document is valid today but expires within 90 days. Reach out to ensure renewal before expiry.

Expired (red)

Document has lapsed. The contractor is automatically blocked from receiving new job notifications and cannot bid on new jobs until renewed.

Missing

No document has been uploaded. Their account is essentially blocked from bidding until they complete upload.

The blocked contractor alert

When any contractor in your roster has expired or missing documents, you'll see a red banner like: 🚫 2 contractors with expired or missing documents — these contractors are blocked from receiving new job assignments until documents are renewed.

How verification actually works

• License: Cross-checking against the issuing authority (ESA for electricians in Ontario, MCSCS for locksmiths, etc.)
• WSIB: Verifying account number with the WSIB Clearance Certificate API
• Insurance: Checking certificate details, expiry, and minimum coverage

Checks run continuously — typically every 24 hours per contractor.

Acting on alerts

Empty state (new account)

Invoices are generated automatically when milestones are confirmed. Until you have at least one confirmed milestone, this page stays empty.

Active state

The four top KPIs

• Services Paid (green) — total dollar value of confirmed milestones
• This Month (blue) — confirmed milestones this calendar month
• Total Cost (incl. fees) (light green) — what you actually pay including platform fee + HST
• Outstanding (yellow) — money in escrow for pending milestones not yet confirmed

Shows the last 12 months of confirmed milestone activity. New accounts will only show recent months populated.

• Monthly Statements — Consolidated by month. Best for accounting and tax reporting.
• By Project — Broken down per project. Best for charge-backs to clients or job costing.

Click "⬇ Download PDF" on any statement detail or table row. The PDF includes everything visible plus full audit details — perfect for your bookkeeper.

Opening a project invoice

Click any project row to open the per-project invoice. You'll see the dark green top summary bar (Invoice #, Paid to Date, Outstanding, Contract Value), the Milestones table (all 4 milestones with #, Milestone name, %, Status, Paid On, Amount), and totals at the bottom (Services confirmed, Platform Service Fee 5%, HST 13%, Total). The right-side Invoice Summary has all data for accounting including Client (site classification), PO #, and HST/GST Reg.

Using project invoices for charge-back

If you're charging a client for work done on their behalf, the per-project invoice is the most useful artifact. Download the PDF and attach it to your own invoice to the client.

Your verified company information: Business Address, Province, Industry, Employees, GST/HST #, Platform fee (currently 5%), Verified status. Click "✏️ Edit" to request changes. Some fields (like GST number) require ScopeMark admin review.
